What is Trello?
Trello is a visual task management tool based on boards, lists, and cards. Teams use it to track work in a simple drag-and-drop format — popular for finance queues, operational checklists, and approval tracking.
What is it for?
Trello helps teams organise tasks visually, assign ownership, add comments and attachments, and move work through stages (e.g. “To Do” → “In Review” → “Done”). It suits teams that prefer a lightweight, board-based workflow over formal ticketing systems.
How does the Xace + Trello integration work?
You authenticate Trello with Xace this way:
After that, you should link a specific Xace account to:
A Trello board
A list/column on that board (e.g. “Approvals Needed”, “Finance Queue”, “Pending Review”)
After setup, Xace automatically creates and updates Trello cards when payment events occur.
Automated card actions
Event | What happens in Trello |
PaymentRequested | A new card is created for a payment that needs review or approval |
PaymentApproved | The card is updated or moved to reflect approval |
PaymentDeclined | The card is updated to show rejection, enabling follow-up |
Example use cases
A £5,000 supplier payment request creates a card titled “Approval Needed: £5,000 Supplier Payment – ACME Ltd” in your “Finance Approvals” list
When approved in Xace, the card moves from “Awaiting Review” to “Approved”
When declined, the card moves to “Declined / Requires Follow-up” so staff can investigate
What you gain
Payments appear as visual cards in the tool your team already uses
Clear task ownership — cards can be assigned to specific people
Notes, comments, and checklists stay in one place
No need to log into Xace to check every status update
Faster approvals with less delay
